Email Content Best Practices
Purpose: Content choices affect whether recipients engage with your messages or report them as spam. This article covers the content decisions that influence both deliverability and how well your campaigns actually perform.
Before You Begin
This article assumes you already have a message you’re building, either from scratch in the Sure Send email editor or from a saved template. For help building and saving templates, see Email Templates: Create & Use.
From Name and Address
The first thing a recipient sees is who the message is from. Use a from name and address they’ll recognize as someone they signed up to hear from.
Familiarity in the inbox lowers spam complaints and sets a positive tone before the recipient even opens the message. Skip generic or ambiguous from names that make it hard for recipients to place who’s contacting them.
Subject Lines
Subject lines should be compelling but accurate. Skip clickbait or deceptive subject lines built to generate curiosity opens. When a recipient opens a message expecting one thing and finds another, that erodes trust and drives future spam complaints and disengagement. It also runs against CAN-SPAM’s requirement that subject lines accurately reflect the message content (see Email Compliance and Permission Best Practices).
The goal is to give recipients a genuine reason to open, not to trick them into it.
Preheader and Preview Text
Most email clients show a short preview of your message next to the subject line before it’s opened. If you don’t control this deliberately, the client often grabs your first line of body text instead, sometimes something unhelpful like “view this email in your browser.”

Either way, treat your opening line like a second subject line: something that adds context or reinforces the reason to open, rather than repeating the subject line word for word.
Message Content
Marketing strategy should drive your content format and substance. Choose the style that resonates with your specific audience. The guidelines below apply broadly regardless of content type.

Tips
Tip: Personalization doesn’t have to be complex. Even referencing a recipient’s name, their location, or a recent interaction can meaningfully improve engagement over a fully generic message.
Tip: If a recipient no longer wants your emails, it’s far better for them to unsubscribe than to click spam. A visible, functional unsubscribe link protects your sender reputation.
